Family requests stay focused on practical follow-up.
Last updated June 8, 2026. This page explains the current Private Care BC intake workflow in plain language. It is not legal advice.
What Private Care BC collects
When you request shortlist help, Private Care BC collects the contact and request details you choose to submit: name, preferred contact details, city or region, care type, timeline, any attached community profile, and the notes you provide.
Private Care BC records only a general category of how you arrived, such as organic, Private Care BC page, direct, referral, or unknown. It does not keep the raw referrer URL or full tracking strings for this purpose.
Do not submit detailed medical history, financial account details, government identifiers, or emergency information through the form.
If you submit information about a spouse, parent, or another person, share only what is necessary for the request and only if you are allowed to share it.
How Private Care BC uses it
When you submit a shortlist request, Private Care BC reviews your context, checks current details directly with the relevant residences, and emails you a practical shortlist or clarifying questions. Private Care BC may check general details like availability with residences without identifying you; your details are shared only when you direct a next step.
If you reply to a Private Care BC email, Private Care BC may record when that reply was received so we know the email address is reachable.
Private Care BC's role is independent checking and operator introductions. It does not act as your direct care advisor, counselor, or representative in negotiations with communities.
The launch workflow is manual. Private Care BC does not use intake details for automated eligibility decisions, automated profiling, retargeting, or sale through an automated lead marketplace.
Where the request goes
The form is submitted to a Private Care BC-owned server endpoint. The request is stored in the Private Care BC Supabase project and emailed through Resend to the Private Care BC follow-up inbox for follow-up work.
Private Care BC uses service providers that may store or process information outside Canada. Information handled outside Canada may be subject to the laws of that jurisdiction.
Private Care BC keeps lead handling on its own systems and does not send raw family details to Open Brain captures or agent briefings.
Who may receive it
Private Care BC should share information with a senior-living operator or service provider only when you ask for a step that requires it, such as checking availability, arranging a tour, or asking a specific question about a selected residence. Only the information needed for that requested step should be shared.
When you consent to Private Care BC contacting a selected community, Private Care BC keeps a consent record with the consent wording version and timestamp. If the consent wording changes, Private Care BC requires fresh consent before relying on the older record.
You can withdraw operator-contact consent by using the privacy contact form or emailing hello@privatecarebc.ca. Private Care BC will record the withdrawal and stop operator sharing unless you later give fresh consent for a selected community and next step.
Retention and access
Private Care BC keeps shortlist requests only as long as needed for follow-up, recordkeeping, and service improvement.
You can ask Private Care BC to access, update, stop using, or delete your request details, subject to reasonable operational or legal retention needs.
Use the privacy contact form or email hello@privatecarebc.ca to make an access, correction, deletion, stop-use, or privacy question request. The form sends an email to Private Care BC's privacy contact for manual review.
Safeguards
Private Care BC keeps family request workflows behind server-side systems and does not place raw family request details in public pages, Open Brain summaries, or automated agent briefings.
No online system is perfect. Avoid sending information that would create risk if it were included in a normal business follow-up message.
